Booking Policies and Procedures 2008/09

1. BOOK - Book with the service provider. Phone the Ski Resort or Central Reservations to schedule a tentative date for your class or off-site activity day.
2. APPROVAL - Retrieve appropriate approval with school or district.
3. CONSENT - Inform parents of all information and have them fill out and sign the Student Info Form
4. *NOTE - Do not forget to confirm your booking with the resort once you have approval

School Group Policies
GROUP RATES: All groups must be pre-booked in order to receive group rates. All groups must provide one payment. Groups consist of a minimum of 15 members. One complimentary Adult Chaperone lift ticket will be issued for every 10 student tickets purchased. Please complete and sign the enclosed booking form and fax, e-mail or mail back to us to hold your date(s) and lesson time(s). A confirmation of your booking and the services that you have requested will be faxed, e-mailed or mailed to you once your booking form is received.
CONFIRMATIONS: Confirmation of numbers of lift tickets, lessons and rentals will be required 10 days in advance along with accurate rental information forms. Please ensure the information is legible, complete and accurate. If any changes are made, the final numbers must be reconfirmed 72 hours prior to the group’s arrival.
GENERAL ARRIVAL PROCEDURES:
- Plan to arrive at least one hour prior to lesson time.
- Please have someone notify us of any delays in leaving the school.
- Group Leaders must check in at the Administration Office located in the Ticketing Administration Building upon arrival.
- A Group Sales Coordinator will provide the Group Leader with all required information including rental location and procedure, lesson time and location and lunchtime and location (if requested).
ARRIVAL BY BUS:
- Arrive to bus drop off at Nakiska.
- Have the students remain on the bus until the Nakiska representative gives them permission to unload.
- The Group Leader must check in at the Administration Office upon arrival.
- The Students will then be ushered into the day lodge where a brief orientation will be given, and tickets will be handed out.
- The students will be able to leave their lunches, bags and any extra clothing at this location.
- When the students leave the day lodge they must be ready to enter their lesson as soon as they acquire their rental equipment / personal equipment.
- Groups of 20 people, beginners first, will go into the rental shop. Two Chaperones are needed in the rental shop to assist in this process.
INDIVIDUAL ARRIVAL:
- Group Leader should arrive 30 minutes prior to the group’s arrival time and check in at the Administration Office located in the Ticketing Administration Building.
- When the group arrives they should be directed to the far end of the day lodge to meet, get their tickets, get prepared and organized.
- Groups of 20 people, beginners first, will go into the rental shop. Two Chaperones are needed in the rental shop to assist in this process.
LESSONS: Due to the volume of lesson and rental requirements at the resort, we have special group lesson times available. If there are only a few members of your group that require lessons, we would be happy to have them join our regular group lesson program at the group rate.
PAYMENT: All groups must pay in advance with one payment. For bookings more than 30 days prior a 25% deposit will be required to hold the reservation at time of booking. Full payment is required in the office 30 days prior to arrival. For any bookings that are less than 30 days prior to arrival full payment will be taken at time of booking.

CANCELLATION POLICY:
Food and Beverage Services: There is a 72-hour cancellation policy on the food and beverage portion of all group bookings. Any group completely canceling within the 72-hour time period will be charged 50% of the estimated food service for their visit. Final numbers for your group dining arrangements must be confirmed 48-hours prior to your group’s arrival. Billing for the group will be based on the guaranteed number or actual number, whichever is greater. Dining arrangements cancelled within 24 hours of arrival will be charged 100% of the estimated food service.
Other Services: Any group completely canceling within 24 hours of scheduled arrival will be changed 50% of the service for the visit including rentals and lessons.
Lodging Cancellation: Lodging can be cancelled up to 30 days prior to arrival before it becomes non refundable unless an earlier date is stated by the lodging company itself. Should there be any additional requirements by the lodging company for deposits etc. the group will be responsible. |
